Make an Event Space Enquiry on The Square

Function Rooms, like the Common Rooms or Churchill Room, are available for Members’ events
Priority is given to activities organised by College Clubs or by the Dean’s team.
During weekdays, these rooms are sometimes also used by outside bodies, under commercial venue hire arrangements, which brings the College some useful income.
Commercial bookings are given priority in these cases.

PLEASE NOTE :
YOU CAN ONLY MAKE EVENT (ROOM) SPACE ENQUIRIES WHEN LOGGED ONTO THE COLLEGE NETWORK (WI-FI or Wired)

If you wish to enquire about room availability for either a Club and Society event, or in a personal capacity, please read and agree to the Terms and Conditions by ticking the box below.

Your booking is not confirmed until you receive email confirmation from the Deans Team
Please note that we cannot always guarantee a booking
You will need to inform us at least one week prior to when you would like your event to take place
We may have to offer you an alternative room location if your first option is not available
We may need to change your booking location at short notice if needed
The decision of the Events Team is final.

HOW TO MAKE AN EVENT SPACE ENQUIRY : PLEASE READ

Step 1 : Login

Agree to the Terms and Conditions and click on the button marked

">>>Make an Event Space Enquiry"
A pop up window will appear. Please enter your G number (as printed on your GOODCARD) and Goodenough password (the same login as the Square)

Step 2 : Select "Room Enquiry"

From the home screen, click on the "New Room Space Enquiry" button
From the Quick Search section, select a Room Layout and Event Dates
The Layout should be set to "DEFAULT", UNLESS you are choosing a MUSIC ROOM
FROM and TO DATES : Due to scheduling contraints and high demand for event spaces (rooms), you can ONLY book A WEEK IN ADVANCE...
So PLEASE select a start time and end time that is AT LEAST ONCE WEEK ahead of today's current date.
If you enter today's date, or a day two or three days in advance, you will receive the error message : Booking cannot be made within 168 hours from now.
If you enter a date in the past, the system will complain too!
Assuming all is well, click on the "PROCEED" button

Step 3 : Choose a Room

You are presented with a list of rooms, showing the capacity of each room.
Click on the View Camera icon to see more details of each room, including restrictions on use.
Enter a Reason for your Enquiry or Booking, then press NEXT
Answer "OK" to confirm, then answer "Yes" to the question "Are you hosting the meeting?"
If you recieve an error message, click to proceed to the next step
Event Space Enquiry Confirmation
Please review your Event Space Enquiry. At this stage, you are given a reference number, which you can quote back to the Events team

Press YES to PROCEED to the final step
Final Step - Review your Event Space Enquiry
The details of your room enquiry, location, date and time and booking reference number, are confirmed to you.
Please quote these details when communicating with the Events Team.
Please give the Events Team a few working days to process your request.
You might like to confirm whether the request has been granted a nearer to the time.
